HiringHumans is a hiring platform built for small businesses. We help businesses create career pages, write job descriptions, screen candidates, and manage their hiring pipeline.
This policy explains what information we collect from business users and job candidates, how we use it, and what choices you have. It applies to everyone who uses hiringhumans.ai.
Information We Collect
From business users
- Account information: name, email address, and password
- Business details: business name, industry, and team size
- Career page content: logos, images, descriptions, and job posts
From job candidates
- Contact information: name, email address, and phone number
- Application materials: resume and cover letter
- Screener responses: video recordings, audio recordings, and written answers to screening questions
Automatically collected
- Basic usage data: pages visited, actions taken, and browser type
- Device information: operating system, screen size, and IP address
How We Use Your Information
We use the information we collect to:
- Operate the platform — host career pages, process applications, and manage hiring pipelines
- Generate content — create job descriptions and extract factual summaries from candidate applications using AI
- Send communications — application confirmations, status updates, and account notifications
- Improve the service — understand how people use the platform and fix issues
- Ensure safety — prevent abuse, fraud, and discriminatory practices
AI and Automated Processing
We use AI in a few specific ways. We want to be straightforward about what it does and what it doesn't do.
What AI does
- Generates job descriptions — when a business creates a job post, AI drafts the description based on the role details they provide. The business reviews and edits before publishing.
- Extracts candidate summaries — AI reads application materials and creates a brief factual synopsis (skills, experience, education) so hiring managers can review candidates more quickly.
- Checks screening questions — AI reviews business-written screening questions to flag anything that could be discriminatory or inappropriate.
What AI does not do
- AI does not make hiring decisions or rank candidates
- AI does not automatically reject or filter out applicants
- AI does not analyze candidate video or audio for sentiment, personality, or behavioral traits
Every hiring decision is made by a human. AI is a tool that helps with writing and summarizing — nothing more.
Third-Party Service Providers
We work with the following companies to operate the platform. Each processes data only as needed to provide their service:
- Supabase — database, authentication, and file storage
- Mux — video processing and playback for candidate recordings
- Resend — transactional email delivery
- Vercel — web hosting and content delivery
- Google AI — content generation (job descriptions, candidate summaries)
- Anthropic — content classification (screening question checks)
We do not sell your personal information to anyone. We do not share candidate data with anyone other than the business the candidate applied to.
Data Retention
Candidate application data (resumes, video recordings, screener responses) is retained for one year after the associated job posting closes. This aligns with federal record-keeping requirements for employment records.
Business account data is retained for as long as the account is active. If a business closes their account, we delete their data within 30 days, except where we're required to retain it by law.
Candidate contact information is retained separately from application data if needed for legal compliance after the retention period.
Data Security
We take reasonable measures to protect your information:
- All data is encrypted in transit using TLS
- Database access is controlled through row-level security policies
- File storage uses signed URLs with expiration
- Authentication is handled through industry-standard protocols
No system is 100% secure. If we discover a data breach that affects your personal information, we will notify you promptly.
Your Rights
You can request to:
- Access the personal information we hold about you
- Correct any information that is inaccurate
- Delete your personal information (subject to legal retention requirements)
- Export your data in a portable format

Children's Privacy
HiringHumans is not directed at anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.
Changes to This Policy
We may update this policy from time to time. If we make significant changes, we'll notify you by email or by posting a notice on the platform before the changes take effect.
